End of Day Reports

Hi,

Something that is not there are present that i think would benefit all owners is an end-of-day report that could be run by the receptionist.

This would report based on all the appointments in the diary for the day and return the following...

- Patients who DO NOT have an invoice raised
- Patients who DO NOT have a session note recorded

These 2 would allow practice staff to ensure all patients are being charged and that notes have been recorded for each patient...

- other selectable options could be something like...
-- Patient numbers and income generated based on staff
-- Patients who have Cancelled and DNA'd for the day and whether they have a future appointment booked
-- Amount of money collected based on payment types (allows us to check our EFTPOS/CC total printout to the actual recorded amounts in COv4.

What do you think?

I am sure this could be a custom report but i think a lot of COv4 users would appreciate the report and it shouldn't actually take too long to make...

The diary in ClinicOffice shows an 'Invoice' icon on each appointment which indicates whether an invoice has been raised. Furthermore, the colour of the icon indicates whether the invoice has been paid, part-paid or is unpad. The diary also has a 'Clinical Notes' icon which indicates whether or not Clinical Notes have been entered for an appointment. Are these icons sufficient for your needs?

Please see the 'Payment -> Staff Allocation' report

Please see the 'Appointment List' report

>> Amount of money collected based on payment types
Please see the 'Payment List' report and select the 'By Payment Type' option.

Thanks for the reply.

I do appreciate that all these things exist and in fact, it isn't really a problem for me...

...my issue is that my staff aren't as emotionally invested in ensuring everyone has had everything done as we the owners are.

I was just wondering if a report that summarised the end of day for the clinic would be useful in providing only ONE step for my staff rather than...

step 1 - scroll thru the whole diary and check everyone has been invoiced
step 2 - invoice all the people who have not been invoiced yet
step 3 - scroll thru the whole diary and check everyone has had notes
step 4 - let each physio know/message/flag etc that notes have not been completed (they should do this themselves but we all know how good physios are at doing their paperwork!)

...etc etc...

By having all things on one report - i tried to produce a report but i need the field names to do something.

It is just to minimise steps. It would be interesting to see if other users would find an end of day report useful...

We have 100s of practices/clinics/hospitals/organisations using ClinicOffice in dozens of different countries. The problem with trying to produce one catch-all 'End of Day Report' is that different clients will require different information at the end of a day, which is exactly why we offer our custom report designing service at very modest rates so that we can produce a report to suit your clinic.

Fair enough. I appreciate your position...but not even a list of unraised invoices?

When i get to the step of reports etc, i will let you know. :)

How can you show a list of invoices that have not yet been created?!

As already mentioned, glancing at the diary will clearly show you any appointments that have not yet had an invoice created against them. If it is essential for you to have this on a separate report, then we can add another field on the "Appointment List Report" which indicates if the appointment has an invoice. This can be done without charge as long as you join the ClinicOffice Support Plan.

How can you show a list of invoices that have not yet been created?!


i thought it would be comparing each appointment to whether there is an invoice associated with it...right?

I hire my staff based on their friendliness and warmth then on their ability to get all their work done. They are the first and last person my patients see in the clinic so i think they are very important people...

...but they can overlook things and i need to focus on doing physio, not checking on their work!

The report might be a goer...
